How to export your employees’ data while complying with GDPR?

As part of managing your community, you may need to export the data of your employees who have joined the United Heroes app — for example, for internal reporting or activity tracking. This article explains how to carry out this export from your Admin space, as well as the precautions to follow to keep this operation GDPR-compliant.

Since this export may contain personal data, it must be handled with the same rigor as any other HR or employee data belonging to your organization.

📌 The export is done from the Community tab of your Dashboard.

🔐 The Export - User activity overview tab contains personal data (user activity and profile information): its use should be limited to people who genuinely need it.

⚠️ The best practices below are general recommendations, not legal advice: for any precise compliance question, please check with your GDPR / DPO contact.

📤 How to export your employees' data

  1. Go to your Dashboard, then click the Community tab.
  2. Open the Exports screen.
  3. Select the Export - User activity overview tab (this is the one that contains personal data: user activity and profile information).
  4. If needed, filter the export by team (level 1, 2, or 3) to limit the extracted data to the scope you actually need.
  5. Click the three dots, then click Download results.
  6. Choose the file format you want (.csv, .xlsx, or .json), then click Download. The Keep the data formatted box is checked by default.

🔐 GDPR focus: best practices to follow

Exporting employee data is a form of personal data processing. Here are a few general habits to apply before carrying out an export:

  • Only select the scope (team, period) that you actually need, rather than exporting your entire community by default.
  • Once downloaded, the file is no longer protected by your Admin space's access controls: limit its sharing to people who genuinely need it (e.g., HR, management).
  • Delete or archive the exported file once it's no longer needed, rather than keeping it indefinitely on a workstation or shared space.
  • If this file needs to be shared outside your organization (vendor, partner), check beforehand that an appropriate contractual framework is in place.

✅ You now know where to find the export of your employees' data and what habits to adopt to handle it in a GDPR-compliant way.
